How to organise a stress-free trip with friends — the complete guide

A trip with friends is one of the richest experiences you can share. It’s also one of the most demanding to organise — and one where friction can arise if things aren’t handled well.

This guide covers everything from the first idea to the journey home.

Phase 1: choose the destination and dates

Golden rule: don’t choose the destination before you know who is coming. It avoids unpleasant budget or logistical surprises.

  1. Start by checking everyone’s availability (Togezer or Doodle).
  2. Once the dates are set, suggest 2 or 3 destinations that fit the group budget.
  3. Take a simple vote — don’t chase perfect consensus; with 8 people, you’ll never get it.

Ideal duration: 4 to 7 days for a proper group trip. Any shorter and it feels over just as you settle in.

Phase 2: the budget

Set an overall budget per person before booking anything. Include:

  • Transport (flights or train)
  • Accommodation
  • Planned activities
  • Estimated food budget
  • A contingency allowance (10–15%)

Tip: create a shared fund on Togezer. Everyone pays their share before departure — no need to manage repayments during or after the trip.

Phase 3: accommodation

For a group, the best-value options are generally:

  • Whole-property rental (Airbnb, Abritel): one place for everyone, more sociable and often cheaper per person.
  • Hostel (Hostelworld): for tighter budgets; some offer private rooms for groups.
  • Hotel with connecting rooms: more convenient when people want more privacy.

Check: cleaning fees, exact capacity and cancellation policy.

Phase 4: travel logistics

  • Local transport: shared rental car, public transport or walking depending on the destination.
  • Flights: book together so everyone is on the same flights — avoid half the group travelling separately.
  • Documents: make sure everyone has valid documents (passport and visa where required).

Phase 5: organisation at the destination

A flexible programme is better than a minute-by-minute schedule. Plan:

  • 1 or 2 must-do activities booked in advance.
  • Free time for spontaneous ideas.
  • A daily meeting point (for example, over breakfast).

Use Togezer ZenPlan to organise the stages of the trip, compare accommodation and coordinate activities — the whole group sees the same plan in real time.

Phase 6: expenses during the trip

  • Choose one person to centralise receipts.
  • Togezer automatically calculates balances between travellers at the end of the trip.
  • Settle up within 48 hours of getting home — not 3 weeks later.

The most common mistakes

  • Overloading the schedule (nobody can do everything).
  • Not allowing individual free time.
  • Mixing very different profiles without planning for it (early birds and night owls need managing).
  • Leaving all the logistics to one person without delegating.
